Before using a copier, learn how to install equipment, configure and connect, read the operating rules to comply with safety regulations. Quite often, beginners have certain difficulties, but it is easy to cope with them, knowing some subtleties.

Xerox installation

Xerox refers to a copier for duplicating text, pictures, photographs, books and other documentation. Printing is carried out on paper, usually in A4 format. Copiers are divided into types:

  1. Conventional copiers, digital or analog.
  2. Black and white or color.
  3. Small, medium and high performance.
  4. Desktop or floor.
  5. Portable or portable.

The technique requires special setup and preparation. The following rules must be observed:

  • the surface of the table or floor must be perfectly flat;
  • there should not be water sources nearby, as well as indoor plants, when watering which liquid can drip onto the equipment;
  • do not have a copier near heating appliances (heaters, radiators, etc.);
  • direct sunlight is prohibited;
  • a dusty room is excluded;
  • it is undesirable for people to be near the copier for a long time, so select a remote place (the device emits ozone compounds);
  • the table should be as empty as possible, so that all elements of the copier (lids, etc.) will not come into contact with objects;
  • the socket must be grounded;
  • the total current load cannot exceed the voltage specified in the instructions for the copier.

The photocopier emits a kind of vibration during operation, so system units and other equipment cannot be installed on the surface next to it. Desirable network with a voltage of 220 volts.

Connection and configuration methods

After installing the copier equipment, you need to connect and configure it. You can do this locally and remotely. In the first case, an always-on and nearby laptop with a USB cable is required, in the second, it is enough to use wireless USB or Wi-Fi. The best option for offices is remote, for home use a local connection is used.

The method of setting up and connecting via a USB cable is carried out by the following actions:

  1. Connect the USB cable between the printer and the computer (copier requires a plug with a regular inlet).

  3. At the top of the panel, select the “Install Printer” button, after which a window will open showing the view of the copier. You need to click on “Local Printer”.
    Device and Printers
  4. Check the box “Use the following copier”, click in the field where there are names of available ports for connection. In the list, find the item “USB001”.
  5. Then select the required driver for your copier. Find the publisher entry for your hardware brand name. Next, go to the “Printers” menu to search for the desired model.
    Driver installation

In the absence of the name of your copier, you will have to download the driver and install it yourself. When downloading, click on the “Install” menu, indicating a specific location on your PC. After that, click “OK”, check the box “Replace the current driver.”

What to do next:

  1. Click “Next”, then the name of the copier.
  2. Go to the sharing settings for a personal computer if the equipment is located in a large office, thanks to which you can connect to the equipment from different PCs.
  3. Check the box next to “Use (printer) as default”, click “Finish”.

To check the copier connection via USB, go to the “Device Panel” and find the name of your device.

Using WiFi

Wi-Fi makes it possible to use the copier simultaneously with several computer installations and remotely, that is, you do not need to connect a cable for this, and the computer can be located at some distance from the copier.

Basic steps to connect:

If several PCs are connected to the copier, go to the “Printers and Faxes” tab, after which the connection will occur. Mandatory rule – the device is designated as network equipment “Default”.

How to set up a photocopier using Wi-Fi Protected Setup?

When connecting the copier to a computer via a router, make sure that all devices support the WPS program. Modern models are equipped with this technology. And older versions can be checked. They do it in different ways:

  • go to the official website of the manufacturer:
  • read the instructions carefully;
  • inspect the bottom of the router.

In the latter case, there should be a marking with the WPS icon and PIN-coding:

It is possible that the label will be missing. In this case, do the following: go to the web interface of the router by typing the address or in the search engine. Next, configure (the same must be done in any of the options):

  • open the menu;
  • click on “WPS”;
  • switch to the “Enabled” button;
  • in the “Device PIN” section, enter the PIN code from the router;
  • disable MAC filtering;
  • set WPA-2 security or just WPA.

If the copier model has a WPS connection function, just press the button and hold it until the wireless network is detected.

How to set up a photocopier with connection wizard?

To do this, the personal device must support Wi-Fi and be sure to use the WPA or WEP protocol. It is important to know the SSID (network name) and encryption key (password).

Step-by-step instruction:

  • go to the “Control Panel”;
  • find “Settings”;
  • open “Network”;
  • select your Wi-Fi;
  • enter password.

The connection wizard will automatically configure and make the installation. If the router’s network name is not found, enter it manually.

How to make copies – step by step instructions?

If you are convinced that the installation, connection and settings are correct, you can proceed with the photocopying procedure. The step-by-step actions include the following:

  • connect all devices to the power supply;
  • place blank sheets in a special tray or check for their presence;
  • align the document to be duplicated (original);
  • open the lid of the copier;
  • lay the source down with the side to be copied;
  • do not go beyond the marks on the glass surface;
    Document scanning
  • depending on the model, press the “Copy” and / or “Start” button;
    Control Panel
  • lift the lid up.

Features of copy equipment:

  1. It is possible to reduce or enlarge the size of the copied document. For this, the “Paper” button is used, but another icon may be present (depending on the model).
  2. If a color duplicate is needed, use the corresponding functions/buttons with color markings.
  3. If it is necessary to receive several pieces of the same document (spread), it is enough to enter this quantity using the buttons. It can be “Plus”, “Arrow”, etc.

Safety measures when working with a copier

When working with a copier, be sure to observe the following safety precautions and precautions:

  1. Children and teenagers under 18 should not be allowed to copy.
  2. One and a half meters should remain from the window to the copier, and 1 m from the wall.
  3. Free access to the equipment is required so that there are no obstacles.
  4. Sockets and wires must be in good condition.
  5. It is forbidden to stack other objects on the copier.
  6. If the paper is jammed, turn off the printer, then turn off the power to the device (pull out the plug from the outlet).
  7. The room must be ventilated, as the equipment emits ozone.
  8. Lighting must be artificial.
  9. Always turn off the copier from the outlet after the workflow is completed by pressing the “Off” button in advance.
  10. Overheating of the supply wire and socket is not allowed.
  11. Ozone filters should be checked every few days. That’s what ozone analyzers are for.

Possible problems and difficulties during installation and operation

Sometimes, due to inexperience during operation or installation, a person makes mistakes that lead to breakdowns or failures:

  1. When photocopying, the image is not always clear and of high quality. This is due to the use of consumables that do not match those requested by the manufacturers. That is, for each type of copier, certain dyes and paper are used.
  2. The copier is quite sensitive equipment, so damage can occur due to the penetration of metal and other objects into the input / output sockets. For example, if the copier tries to fix the nest on his own with a paper clip or hairpin and does not turn off the device.
  3. Periodically, office equipment is sent for preventive maintenance, which involves diagnostic measures and cleaning the copier from the inside from contamination.
  4. If the copier has stopped transferring information from the original document to the paper sheet, the cause is a malfunction or an empty cartridge. In the latter case, it is filled with toner.
  5. If after refilling the cartridge or replacing it with a new one, the copier still does not work, check the correct installation of the element, the quality of the ink, and the operation of the cartridge.
  6. Rinse before filling. They do it according to the rules – dip the cartridge into alcohol or distilled water, immersing it along with the nozzle. Next, soak the number of minutes indicated in the instructions, remove from the liquid and wipe dry.

Copying Documents

Using a copier is quite easy, the main thing is to install it correctly, connect it and act according to the instructions. These were generalized rules, but remember that each model has its own subtleties and nuances. Therefore, if you didn’t get high-quality duplicates the first time, try again, as the result is achieved through experience.
